1. Who this notice applies to
This notice applies when you visit Reuily, create or use an account, join a workspace, contact us, receive communications from us or complete a form hosted by Reuily. In this notice, “personal information” also includes information called “personal data” under some privacy laws.
Reuily decides how and why account, billing, security and service-usage information is used. For form content and responses, the form creator decides what to collect and why. Reuily processes that information under the creator's instructions and our Data Processing Addendum.
If you completed someone else's form, the creator's privacy notice should explain how it uses your response. Contact the creator first if you want to access, correct or delete information in that response.
2. Information we handle
- Account and workspace information
- Your name, email address, profile image, organizations, workspaces and roles.
- Forms and responses
- The forms you create, their settings and branding, submitted responses, uploaded files and signatures.
- AI form generation
- The instructions you submit, the generated form and information about your use of the feature.
- Billing information
- Your plan, subscription status, billing dates and transaction references. Payment-card information is handled by our billing provider, Polar.
- Connected services
- Information needed to connect and operate services such as Google sign-in, Google Sheets and webhooks.
- Usage and device information
- Your IP address, browser and device information, service activity, form events and security-related activity.
- Communications
- Support messages, abuse reports, notification settings and communication preferences.
You need an email address and a way to sign in to create an account. Other profile information is optional unless clearly marked otherwise.
Form creators decide what their forms collect. A form may therefore request other information, including sensitive information. The creator is responsible for explaining why that information is collected and ensuring they are allowed to collect it.
3. Where information comes from
- directly from you when you create an account, build a form, submit a response, change a setting or contact us;
- from a customer or organization administrator when they invite you, manage your role or submit information about you;
- automatically from your browser, device and use of the service;
- from services you choose to use with Reuily, such as Google sign-in, Google Sheets or another connected destination;
- from our billing provider when it confirms checkout, subscription or transaction information.
4. How and why we use information
We use personal information to:
- create and manage accounts and workspaces;
- host forms, collect responses and provide analytics;
- operate integrations, exports and other requested features;
- generate draft forms when you use the AI feature;
- manage subscriptions, checkout and billing support;
- send account, security, billing and service messages;
- answer support requests and investigate abuse;
- protect accounts, prevent fraud and keep Reuily reliable;
- understand product usage and improve Reuily;
- comply with legal obligations and protect our legal rights.
When Reuily handles responses for a form creator, we follow the creator's instructions and our Data Processing Addendum. The creator is responsible for having a valid reason to collect and use those responses.
We use personal information only when we have a valid legal reason. Depending on the situation, we may need it to provide the service you requested, follow the law, keep Reuily secure, improve the service or act with your permission. You can withdraw your permission at any time and may object to certain other uses.
Marketing messages are optional. You can unsubscribe from a marketing email or turn them off in your notification settings. We will still send messages needed for your account, security, billing or a service you requested.
5. Customer forms and respondents
The person or organization that creates a form controls the form's questions, purpose, audience, access and retention settings. That creator and its authorized workspace members can access responses. Reuily stores and processes the responses as a service provider or processor for the creator.
Published form titles, questions, branding and public media can be viewed by anyone with the form link. Responses are not made public by Reuily, but the creator can view, export or share them with services it connects.
A creator may send responses to email recipients, Google Sheets or a webhook. Once information reaches a destination selected by the creator, that destination's terms and privacy practices apply. Removing information from Reuily does not automatically remove copies already sent elsewhere.
When a form includes a signature, Reuily also records evidence of the signing for the creator: the signer's email, the time the form was opened and signed, the IP address and browser used, and the consent given. This evidence, a hash that seals it and a signed PDF are kept with the response and follow the creator's retention settings. On some plans, a form can ask respondents to confirm their email with a code sent to them.
Forms may also record how a respondent arrived, such as campaign tags in the form link, the referring website and ad click IDs, and which pages of the form were viewed. On paid plans, forms may save answers before they are submitted. Form creators can turn these features off.
For a privacy request about information submitted through a customer form, contact the form creator. If you need help, email privacy@reuily.com and include the form link.
If a form appears deceptive or abusive, use Report abuse.
6. AI form generation
When you use AI form generation, Reuily and its AI service provider process your prompt and the generated content to provide the feature.
Review generated content before publishing, and do not include personal, confidential or sensitive information unless you are authorized to use it.
9. How long we keep information
- Account and workspace information
- Kept while the account is active. When an account is deleted, we remove its account information and delete every organization it owns, including the organization's workspaces, forms, responses and uploaded files. Content in organizations owned by someone else remains with that organization and the deleted user's account attribution is removed. We may retain limited records needed for billing, security, disputes or legal obligations.
- Responses and attached files
- Kept until the customer deletes them or its selected response-retention period expires. Customers can choose manual deletion or automatic deletion after 30 days, 90 days, 180 days, 1 year, 2 years or 7 years. After subscription access to response collection ends, forms, responses and attachments are scheduled for deletion after 90 days unless access is restored. We notify workspace owners of the deletion deadline and send reminders. Shorter response-retention settings still apply. Account login remains available after this content deletion.
- AI generation
- Kept only for the limited time needed to provide, secure and support the AI feature.
- Generated exports
- Generated exports are normally deleted within 24 hours.
- Integration information
- Connection credentials are kept until the connection is removed. Delivery-attempt history is normally kept for 30 days.
- Billing, support and security records
- Kept only as long as reasonably needed for the original purpose, legal obligations, fraud prevention, security or legal claims.
You can delete forms, responses and your account through Reuily. Account deletion also deletes every organization you own and its workspaces, forms, responses and uploaded files. Content in organizations owned by someone else remains with that organization without your account attribution. We delete the related personal information, except for records we must retain for legal, tax, accounting, security or dispute purposes.
10. International data transfers
Reuily and its service providers may process personal information in other countries. Where required by law, we protect these transfers using recognized legal safeguards. Contact privacy@reuily.com for more information.
11. Your privacy rights
Depending on where you live, you may have the right to access, correct or delete your personal information, receive a portable copy, restrict or object to certain uses, withdraw consent and complain to a privacy regulator. Where local law allows, you may also use an authorized agent or appeal our response. We will not discriminate against you for exercising a privacy right.
You can update your profile and notification settings or delete your account through Reuily. For other requests, email privacy@reuily.com. We may need to verify your identity and will respond as required by law.
If your request concerns information submitted through a customer form, contact the form creator because they control the response.
12. How we protect information
We use appropriate safeguards to protect personal information from unauthorized access, loss, misuse or disclosure.
Contact support@reuily.com if you believe your account has been compromised.
13. Children
You must be at least 18 years old and have reached the age of legal majority where you live to create a Reuily account.
Customers that collect information from children through a form are responsible for providing any required notices and obtaining any required parental consent. Contact the form creator or email privacy@reuily.com if you have a concern about a child's information.
14. Changes and contact
We may update this notice to reflect changes to Reuily or applicable law. We will update the date at the top of this page and provide notice of material changes where required.
Contact privacy@reuily.com for privacy questions or requests. Contact support@reuily.com for general support.
